Lead scoring and routing

Scores every contact as they engage, on how well they fit and how interested they look. When one crosses your line, it goes to the right rep with a note on why now. Owned accounts go to sales ops first.

  • $12,500 fixed
  • Live in 3 to 6 weeks

The review screen for Lead scoring and routing: four items, three done, and one (Owned account) waiting for the sales ops lead, who is asked: Fairhaven Labs is Omar’s customer. Send this lead to him, not new business?
How it works

Scored on fit and on interest, so reps call the ready ones first.

Here’s a typical run, step by step: what automation handles, what the agent does, and the calls that stay with your team.

The workflow for Lead scoring and routing, in 5 steps. It starts with “A contact comes back” and ends with “A ready lead, with a why”. Each step lists what automation, the agent and your team do there.
Lead scoring and routingA typical run
Starts withA contact comes backA head of operations from last year’s trade show visits your pricing page twice and signs up for a webinar.
Automation: Each night it pulls page visits, email clicks, webinar sign-ups and form fills, and ties each one to a contact in the CRM.

Step 1 of 5Gather the signals

  • Automation

Each night it pulls page visits, email clicks, webinar sign-ups and form fills, and ties each one to a contact in the CRM.

Your marketing tool already logs every visit and click against an email address.

The agent: Checks each changed contact against your ideal customer: company size, industry, their role, and the systems they run.

Step 2 of 5Read the fit

  • The agent

Checks each changed contact against your ideal customer: company size, industry, their role, and the systems they run.

A title like “Head of Ops & Things”, or a company that doubled this year, won’t match a picklist.

Automation: Adds your points for each action and fades them as they age. The Fairhaven Labs contact goes from 42 to 81, past your line of 70.

Step 3 of 5Add up the interest

  • Automation

Adds your points for each action and fades them as they age. The Fairhaven Labs contact goes from 42 to 81, past your line of 70.

Points per action and how fast they fade are your model, applied the same way to every contact.

Where teams differPoints are common. Grades work too, like A to D for fit and 1 to 4 for interest.

Automation: Fairhaven Labs is already a customer, with Omar as its account owner, so the lead goes to the sales ops lead, not the new-business queue.
IfYour team: Sends the lead to Omar as a chance to grow the account, or to new business if it’s a separate division, and notes why.
~4h/mo

Step 4 of 5Check who owns it

  • Automation

Fairhaven Labs is already a customer, with Omar as its account owner, so the lead goes to the sales ops lead, not the new-business queue.

Whether an account already has an owner is a field on the record, so these are sorted before any rep sees them.

  • Your teamIf the account has an owner

Sends the lead to Omar as a chance to grow the account, or to new business if it’s a separate division, and notes why.

Who gets a lead at an existing customer affects two reps’ numbers. Someone who can settle that should decide.

Where teams differWhere the account list is clean, owned leads can skip this step and go straight to their owner.

The agent: Writes three lines for the rep: who they are, what they’ve looked at this month, and the question they seem to be asking.
Automation: Sets the owner by your routing rules, adds a follow-up task for today and posts the lead in the rep’s channel.

Step 5 of 5Hand it to the rep

  • The agent

Writes three lines for the rep: who they are, what they’ve looked at this month, and the question they seem to be asking.

A score says a lead is warm. The rep still needs to know what they were reading and why it matters.

  • Automation

Sets the owner by your routing rules, adds a follow-up task for today and posts the lead in the rep’s channel.

With the owner known, your routing rules set the task and the channel.

Ends withA ready lead, with a whyWith the right rep, a task for today and three lines on why now, while they’re still looking.

What you get

The agent, and everything that keeps it working.

  • The agentRunning on your systems, under your rules.
  • The review screenWhere the exceptions land for your reps and the sales ops lead.
  • Your rulebookYour limits, exceptions and who signs off, in one place, often for the first time.
  • A test reportYour past leads, run through it and checked against the number.
  • The runbookHow it works, what to check, and what to do if it stops.
  • 30 days of tuningAfter it goes live, through a full month of your real leads.
The number we agree

Hours from a lead crossing your line to it being with the right rep. We measure it before we start, and again at day 30.

How we get there

Live in 3 to 6 weeks. About seven hours of your time.

We do the building. Your side: access, two quarters of leads and what became of them, and a short weekly check-in.

  1. Before kickoff

    We send the access checklist.

You, 2 hours. Access, an owner, and two quarters of leads and what became of them.

  2. Weeks 1 to 2

We connect your systems and set it up.

You, 1 hour. Walk us through your rules.

  3. Weeks 2 to 4

We test it on your past leads.

You, 1 hour. Review what it flagged.

  4. Weeks 3 to 6

It runs beside your team, then goes live.

You, 1¼ hours. Work from the review screen.

Then 30 days of tuning, with a short check-in each week, about two hours of yours. At day 30 we show you the number and hand everything over.

After it’s live

It keeps running whether or not we stay.

  • It runs in your accounts

Your cloud, your systems, and an AI account in your name, billed by the provider at their rates.

  • Changes in the first 30 days are included

A new rule, a changed limit, someone new signing off. That’s what tuning is for.

  • After that, your call

Your team edits the rulebook, the care plan covers it, or a bigger change is quoted first.

Questions

About this agent.

Do we need a scoring model already?
It helps, but you don’t need one. Most teams have a rough one in someone’s head. We write it down with you and check it against last quarter’s leads before it goes live.
We already score leads in our marketing tool. Does this replace it?
It can sit beside it. Plenty of teams keep the tool’s points for activity and have the agent judge fit, which a points table does badly.
Will reps get flooded?
Only as much as you choose. The line is yours to set, and you can cap how many leads a rep gets in a day.
Our process isn’t quite like this. Will it still work?
That’s the usual case. The job looks the same in most businesses, but the details never do. We map how your team does it today, then set the rules, systems and approvals to match. That’s what most of the 3 to 6 weeks are for.
How do we agree the number?
Together, before any work starts. For this agent it’s the hours from a lead crossing your line to it being with the right rep. We measure it before we start, and again at day 30.
What does it cost to run once it’s live?
Hosting and AI, paid straight to the providers, not through us. It usually runs 5x to 25x cheaper than doing the same work by hand, and we work out your figure from your real volumes before you sign.

Have you written down what makes a lead ready?

Tell us how your team handles leads today. We’ll show you this agent on examples like yours, and whether it fits the fixed price.
