The Role

As an Operations Coordinator at Switchboard, you'll work directly with our two co-founders to manage the operational and administrative side of a growing consulting firm. You'll be the gatekeeper who helps them focus on sales, marketing, and client delivery by supporting new and existing client needs, filtering communications, and keeping all the moving parts organized behind the scenes.
What you'll do
In this role, you’ll keep the co-founders focused, informed, and operating smoothly by owning daily operations, communication flow, and administrative coordination.
- Run daily standups, triage emails and Slack messages, and break down incoming requests into actionable tasks.
- Manage co-founder calendars, inboxes, and meeting prep (agendas, materials, follow-ups).
- Track and advance action items across team, client, and internal projects—closing loops and surfacing priorities proactively.
- Maintain Notion hubs, documentation, SOPs, timelines, and shared resources to keep information organized and accessible.
- Capture and organize ideas, to-dos, and ongoing priorities; run weekly and monthly planning cycles.
- Act as a coordination point between co-founders, team members, clients, and external partners.
- Support CRM updates, HR coordination (interviews, onboarding), contract workflows, and vendor/tool research.
- Jump in wherever needed to ensure smooth daily operations and business continuity.

- Daily operations run smoothly and predictably because priorities are clear, inboxes are under control, and the co-founders stay focused on the highest-impact work.
- Team, client, and internal projects move forward consistently because tasks are broken down, tracked, and followed through without needing reminders.
- The co-founders operate with clarity each week thanks to clean systems, updated documentation, and a living Notion hub that keeps everyone aligned.
Who we're looking for
Experience: 2+years as an operations coordinator (or similar role), ideally supporting senior leadership in a fast-paced, remote environment. Experience in a consulting or agency environment is a bonus, along with familiarity with HR and hiring coordination.
Skills & Abilities:
- Proficient with Notion and Google Workspace (Gmail, Calendar, Drive, Docs, Sheets). You should be comfortable managing complex systems in both.
- Strong attention to detail and excellent communication skills.
- Ability to break down complex projects into clear, manageable tasks.
- Highly organized, with the ability to prioritize competing priorities.
- Tech-savvy and quick to pick up new tools.
- Discreet and trustworthy with confidential information.
